Job Description:

As a Communications and Events Coordinator you will be responsible for event planning, communications, and logistics. Communicating with attendees and speakers is the most essential task. We are looking for high achievers with experience in the events and hospitality industry. We are looking for creative individuals with passion for taking each event to the next level. As a Communications and Events Coordinator you will generate speakers and attendees and communicate their participation in private by-invitation only energy events. Our events are closed door and off the record, very well established, taking place for more than ten years in Houston, TX, Washington, DC and London, UK. You will have the opportunity to grow your personal and professional network in energy industry and develop fundamental, career-building skills. You will be working in a collaborative events environment.

 

Tasks:

  • Responsible for communicating with speakers and attendees to participate in our in-person events 
  • Generate new speakers and new attendees
  • Communicate with key vendors venues.
  • Communicate digital event marketing campaigns through emails and social media
  • Actively utilize the internal CRM tracking system to validate and record calls
  • Communicate daily over the phone with speakers and attendees
  • Communicate daily via emails to speakers and attendees
  • Generate speakers/attendees from social media 
  • Generate speakers/attendees from energy networks 
  • Prospect for new speakers/attendees from referrals, references, and industry listings
  • Provide timely communication to speakers/attendees on future events and new forums
  • Communicate with our vendors and hotels 
  • Communicate marketing and social media campaigns to boost event attendance

 

Qualifications:

  • Two plus years of event planning related experience 
  • Degree in events and hospitality industry, or marketing and business (preferable) 
  • Excellent use of Apple and/or Microsoft softwares 
  • Must possess excellent verbal and written communication skills 
  • Creative thinking and problem solving skills 
  • Ability to adopt to new situations and learn quickly 
  • Effective events organization and time management skills 
  • Ability to work under pressure 
  • Adhere to event deadlines
  • High degree of self-motivation and mature judgment 
  • Strong time management skills 
  • Ability to keep confidential information secured
